No task is ever left without an owner

A task is assigned to one person, who either accepts it or declines with a reason — after the third decline, a manager steps in, and nothing is ever left unowned.

How It Works

01

Assign, accept, decline, reassign.

When a task is assigned to you or a teammate, the assignee accepts it or declines with a written reason. A declined task doesn't vanish — it's routed again, along with a suggestion for who should take it. If the same task is declined three times, the decision goes to a manager, who decides who will do it and assigns it directly, without asking.

02

Dozens of task types, one flow.

The Task Engine isn't a simple reminder tool. File review, in-person meeting, penalty approval, title transfer, exchange-rate decision, commission request, project content approval, reservation approval, ad-lead routing — the dozens of different task types your business runs into all pass through the same assign-accept-track chain. A report a specialist requests from accounting and an approval a manager submits to the owner leave the same trail in the same system.

03

Sensible scheduling.

If a task's due date lands on someone's day off, Planyum moves it to the next available working day — so your team's performance isn't unfairly penalized for time they weren't working, no one is expected to do a task at an impossible hour, and the task is never forgotten either.

04

Notifications and reminders.

The moment a task is assigned to you, one of your approval requests is resolved, or a counter-offer arrives, Planyum notifies you instantly. Set a reminder window on a task and you're alerted separately, that many minutes before it's due.

Tips

  • Creating a task: Tasks → New Task in the sidebar. Pick the assignee, the date/time, and an optional customer. Assign it to someone other than yourself and it goes to their approval.
  • Today panel: tasks due that day and the day's appointments for customers you own appear in the same panel.
  • Pending approvals: approve or decline a task assigned to you; declining requires a reason, and the system suggests who should take it next.
  • Delegation list: track the tasks you've assigned to others from here.
  • My tasks: each task type has its own completion form — the right one opens automatically based on the type.
  • Company view: only the company owner and managers see every task across the company on one screen.
  • Reminders: set a reminder window on a task and you'll be notified that many minutes before it's due.
